DUTIES AND RESPONSIBILITIES:
The United Nations Office at Nairobi (UNON) is the UN Headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-HABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services. The Division of Conference Services, where the post is located provides conference and meeting facilities in UN Gigiri complex. (www.unon.org). The post is located in the Publishing Services Section, Division of Conference Services (DCS) UNON. Under the supervision of the Chief, Publishing Services Section (PSS), the Administration Clerk will be responsible for the following duties:
•Reviews the Electronic Meetings Scheduling and Resource System (e-Meets) and liaises with Meeting Coordinator to identify meetings or conferences that require exhibition and plans and organizes all necessary resources to be deployed.
•Oversees and supervises the deployment of furniture, equipment and exhibition material.
•Liaises with Meetings Coordinator and clients to confirm optimal set up and arrangement.
•Plans and coordinates the removal and return to store of goods deployed.
•Liaises with cleaning contractors and security officers to ensure good maintenance of exhibition materials and furniture.
•Ensures that store(s) are clean and furniture, equipment and exhibition material are stacked in the right places.
•Ensures that correct furniture, equipment and exhibition material are delivered to the correct place and time.
•Organizes and ensures furniture, equipment and exhibition material are returned and arranged properly in the store(s).
•Supervises the movers (contractors) in the stores when they remove/install and replace items in shelves taking care of the delicate nature of some goods.
•Reports on defective furniture, equipment and exhibition material
•Prepares lists of obsolete /damaged furniture, equipment and exhibition material.
•Participates in physical inventory of goods administered by DCS/PSS.
•Keep stock of reproduction, materials and controls stock of office supplies of the section.
•Perform other duties as assigned.

EDUCATION
Completion of Secondary School education or equivalent. Supplemental courses or certificates in stores/materials management are desirable.
EXPERIENCE
A minimum of three years experience in general office support, store keeping, inventory or related area.
LANGUAGE REQUIREMENTS
English and French are the working languages of the United Nations Secretariat. For the post advertised fluency in oral and written English or is required.
OTHER SKILLS
Good computer skills; proficiency in standard computer applications for e-mail, word processing, spreadsheets, Internet are desirable
