2. Objective of the mission
To support the Finance and Administration Department in its redevelopment structuring process.
3. Specific objectives of the mission
To enable setting up of a more effective information system management while facilitating revised
procedures introduction and application.
To offer support to the Accounts, Finance and Administration Department, in order to meet timely reports
and adequate budget preparation.
4. Methodology and Planned activities
Under the supervision and with the support of the Finance and Administration Coordinator, the selected
candidate will:
• Take in charge, under the supervision of Finance Programme Manager, the realization of
the 2011 Budget Follow up Forms for Project Managers
• Participate in meetings between Project Managers and Finance team, in order to fulfil
objective 1 correctly.
• Participate in follow up meetings for progress update and corrections on the said tool of
work as per expenses progress
• Take in charge partially some financial budgets for Donors under the supervision of the
Finance team (control of support documents from Partners, drafting of reports, etc…)
• Assist in filing and verification of completeness of the documentation on the donors
Files, preparation of checklists, verifications, etc
• Assist in filling and verification of completeness of the documentation on other files
related to Administration, accounting, etc.
• Support in preparation of the archives documentation for Administration and Finance
• Assist on development and updates for Donors accounting and financial codes
• Assist on other administration duties, inside the service as requested and in accordance
with the priorities and needs.
5. Expected results
With the support of the candidate, the Finance and Administration Department will be then able to:
• Ensure development of Donors Financial codes for Finance Department
• Contribute the realization of the Budget Follow Up form from Project Managers
• Contribute in the donors’ report with partner documentation control
• Ensure realization of a comprehensive archive system
• Contribute on the realization of a comprehensive information filling system for finance,
With the support of the candidate, the Finance and Administration Department will be then able to:
• Timely processing of Budget Follow Up form for Project Managers
• Respect of the Financial Donors Report deadlines
• Meet the 2011 budget deadlines
• Ensure realisation of a comprehensive finance information sheet for donors filling system
• Ensure realisation of a comprehensive information filling system for finance, Accounting
and Administration services
7. Requirements for the intern
• Must have a degree in Commerce/Business Administration/Finance from a
recognized institution. Prior working experience is desirable but not a must.
• Very good knowledge of Excel
• Good interpersonal and organizational skills
• Candidates should be able to work in a team as well as take responsibility for a
range of tasks under the supervision of the responsible person
